Summary: Location 3 Times is a Canadian company. We collect only what we need to operate the service. We never sell your data. Video testimonials published by real estate agents are public. You have rights under PIPEDA to access and correct your information.

1. Who We Are

Location 3 Times ("we", "us", or "our") is a software service operated in Ottawa, Ontario, Canada. We provide an automated video testimonial platform for real estate professionals. Our website is location3times.com and our application is at app.location3times.com.

2. Information We Collect

From real estate agents (subscribers):

  • Name, email address, and business information provided at sign-up
  • Payment information processed by Stripe (we do not store card numbers)
  • Profile details you add: photo, brokerage, website, social media links
  • Subscription and billing history

From clients (video respondents):

  • Name and property address or display location provided at the time of recording
  • Video and audio recording of the testimonial interview
  • Transcript generated automatically from the recording

From lead capture forms (website visitors):

  • Name, email address, phone number, and optional comments submitted voluntarily via the contact form on a testimonial page

Automatically collected information:

  • View counts on testimonial pages (anonymous aggregate)
  • Basic server logs (IP address, browser type, page visited) retained for up to 30 days
  • Cookies required for authentication (see Section 9)

3. How We Use Your Information

  • To create and manage your subscriber account
  • To process billing and communicate about your subscription
  • To generate, store, and publish video testimonial pages on your behalf
  • To deliver lead inquiries to the subscribing agent
  • To track aggregate analytics (view counts) so agents can measure impact
  • To respond to support requests
  • To improve the platform and diagnose technical issues

We do not use your data for advertising or sell it to third parties.

4. Third-Party Services

We use the following third-party processors. All are US-based and subject to their own privacy policies:

  • Google Firebase — Authentication, database (Firestore), and hosting. Privacy policy
  • Mux — Video encoding, storage, and streaming. Privacy policy
  • Cloudinary — Image transformation for social share thumbnails. Privacy policy
  • Stripe — Payment processing. We transmit billing information to Stripe and do not store full card details. Privacy policy
  • SendGrid — Transactional email delivery (receipts, notifications). Privacy policy

We have data processing agreements in place with each processor as required. Where data is transferred to the United States, it is protected under standard contractual clauses or equivalent frameworks.

5. Video Recording Policy

Video testimonials are recorded by real estate agents who are subscribers of this platform. The subscribing agent is responsible for obtaining informed consent from the client being recorded before initiating a recording session.

By submitting a video testimonial, you consent to:

  • Your video and audio being processed and stored by Location 3 Times and Mux
  • An automated transcript being generated from your recording
  • The testimonial being published publicly on behalf of the real estate agent

Agents must not record minors or individuals who have not provided consent. See our Terms of Service for agent obligations.

6. Public Testimonial Pages

Approved testimonial videos are published at public URLs on location3times.com. These pages are indexed by search engines and accessible to anyone. They contain:

  • A shortened version of the client's name (first name + last initial, e.g., "Sarah M.")
  • The general location (city and province)
  • The video recording and auto-generated transcript

If a client requests removal of their testimonial, they should contact the subscribing real estate agent directly. Agents may delete testimonials from their dashboard, which will remove the published page. For direct removal requests, contact us at info@location3times.com.

7. Data Retention

  • Subscriber accounts: Retained while the account is active. Deleted within 90 days of account closure on written request.
  • Video testimonials: Retained while the subscribing agent's account is active. Removed when deleted by the agent or when the account is closed.
  • Lead form submissions: Delivered to the agent and retained in our database for up to 2 years, then purged.
  • Server logs: Retained for up to 30 days.
  • Billing records: Retained for 7 years as required by Canadian tax law.

8. Your Rights Under PIPEDA

As a Canadian company, we are subject to the Personal Information Protection and Electronic Documents Act (PIPEDA). You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Withdraw consent to our use of your information (subject to legal or contractual restrictions)
  • Request deletion of your personal information where no overriding legal obligation requires us to retain it
  • Lodge a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca

To exercise any of these rights, email info@location3times.com. We will respond within 30 days.

9. Cookies

We use only essential cookies necessary to operate the service:

  • Authentication cookies — Set by Firebase to keep you signed in to the agent dashboard. These expire when you sign out or after a period of inactivity.

We do not use advertising cookies, tracking pixels, or third-party analytics cookies. The public testimonial pages (location3times.com) do not set any cookies.

10. Children's Privacy

Location 3 Times is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe a child's information has been submitted to our platform, contact us immediately at info@location3times.com and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify subscribers of material changes by email at least 30 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the service after the effective date of a change constitutes your acceptance.
